Privacy Policy

This Privacy Policy explains how Wheeler Technologies, Inc., doing business as Sometime ("Sometime", "we", "us"), collects, uses, shares and protects personal information when you visit usesometime.com (the "Site") or use the Sometime scheduling service (the "Service").

Sometime is used by businesses (our "Customers") to turn their website forms into booking pages. We handle personal information in two roles:

  • As a controller for information about visitors to the Site, the people who sign in to manage a Customer's account, and the sales reps who connect their calendars. This policy describes that processing.
  • As a processor (service provider) for information about the prospects who fill in a Customer's form and book a meeting. We process it on the Customer's behalf and under their instructions, and the Customer's own privacy policy governs it. See Information we process for our Customers.

1. Information we collect

Visitors to the Site

The Site does not use analytics or advertising cookies. Like any website, our hosting providers receive technical information with each request, such as your IP address, browser type and the page requested, and keep it in short-lived server logs for security and reliability.

Customer account users

When you sign in to manage a Customer's account, we collect your name, email address and the account you belong to. Sign-in works by emailed link: we store a hashed, single-use sign-in token and, once you sign in, a session record and a session cookie. We also keep the settings and content you create, such as booking flows, routing rules, meeting types and branding.

Sales reps who connect Google Calendar

When a rep connects their Google account, we receive and store:

  • their Google account email address, name and profile photo;
  • OAuth access and refresh tokens, stored encrypted;
  • the times of the events on their calendar within a rolling window (from one day ago to about four weeks ahead): start and end, and whether the event is all-day. Cancelled, free, declined, working-location and birthday events are skipped. We do not request or store event titles, descriptions, locations or other attendees.

HubSpot data

When a Customer connects HubSpot, we keep a copy of the fields routing needs: HubSpot users (owners) with their names and email addresses; contacts, companies and deals, limited to identifiers, email address, company domain, owner, deal stage and any property a Customer's routing rules use; and the definitions of the Customer's HubSpot forms.

Prospects

When someone fills in a Customer's form or booking page, we collect, on the Customer's behalf:

  • their email address and any other fields the form sends, such as name or company;
  • answers to follow-up questions, the time they book, and their time zone;
  • the values of the HubSpot (hubspotutk) and Google Analytics (_ga) cookies on the Customer's domain, so the booking can be attributed in the Customer's own tools;
  • the routing decision, including which rule matched and which rep was chosen.

We also look up information about the prospect's company and, where the Customer has this turned on, the prospect themselves:

  • Company information (name, industry, size, revenue band and headquarters location) comes from our own database of business information, matched on the domain of the email address.
  • Person information (name, job title and employer) comes from our enrichment provider, Apollo.io, which we query with the email address. We keep the result for up to 90 days so the same person isn't looked up twice.

Children

The Site and the Service are for businesses and are not directed to anyone under the age of 16. We do not knowingly collect personal information from children. If we learn that we have, we will delete it. Contact us at help@usesometime.com if you believe a child has provided us with personal information.

2. How we use and share information

How we use it

  • to provide the Service: show available times, route each prospect to the right rep, book the meeting on the rep's calendar, send the confirmation email, and record the contact and meeting in the Customer's HubSpot;
  • to sign you in, keep your account secure, and prevent fraud and abuse;
  • to send service and account emails, such as sign-in links, invitations, calendar connection links and alerts;
  • to support Customers, fix problems, and measure and improve the Service;
  • to comply with the law and enforce our Terms of Service.

We do not sell personal information, share it for cross-context behavioral advertising, or use it to serve ads. We do not use Customer or prospect data, or Google user data, to train generalized AI or machine-learning models.

Who we share it with

  • The Customer the information relates to. A prospect's booking goes to the Customer's rep as a calendar invite and to the Customer's HubSpot account. If the Customer uses Google Tag Manager, booking events are sent to the Customer's container with a hashed email address, never the address itself.
  • Service providers who process information for us under contract, only to provide the Service (those that process Customer data are listed on our subprocessors page):
    • Render (application hosting and database, United States)
    • Cloudflare (custom domains, TLS certificates and network delivery)
    • Vercel (hosting for this Site)
    • Resend (email delivery)
    • Google (calendar and video meeting creation, as directed by the rep)
    • HubSpot (CRM records, as directed by the Customer)
    • Apollo.io (person enrichment)
  • For legal reasons, when we believe in good faith that disclosure is required by law, or is needed to enforce our Terms of Service, prevent fraud, or protect the rights, property or safety of Sometime, our Customers or others.
  • In a business transfer, such as a merger, acquisition or sale of assets, subject to this policy.

We may share aggregated or de-identified information that cannot reasonably be used to identify anyone.

3. Google user data

Sometime asks reps for access to their Google account's basic profile (email address, name and photo) and to their Google Calendar events (the calendar.events scope). We use this access only to:

  • identify the rep and show their name and photo on booking pages;
  • read the start and end times of their calendar events, and nothing else about them, to work out when they are busy, so prospects are only offered free times;
  • create booking events on their calendar, with a Google Meet link when the Customer turns that on, and update or cancel those events when a meeting is rescheduled or cancelled;
  • receive notifications from Google when their calendar changes, so availability stays current.

Sometime's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In particular, we do not transfer Google user data to others except as needed to provide the Service, for security, or to comply with the law; we do not use it for advertising; we do not sell it; and our staff do not read it unless the rep asks us to, it is needed for security or to investigate abuse, or the law requires it.

Tokens are encrypted at rest. A rep can revoke our access at any time from their Google account permissions. When a rep is removed from a Customer's account, their tokens and stored event times are deleted.

4. Information we process for our Customers

If you booked a meeting through a company's form or booking page, that company is responsible for your information and decides how it is used. We process it for them as described above. To access, correct or delete it, contact the company you booked with. If you contact us, we will pass your request on to them.

5. How we protect information

We use encryption in transit (TLS) for every connection, encrypt stored OAuth tokens, hash sign-in tokens, sign booking links so they cannot be guessed, and limit access to production systems to the people who need it. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

6. How long we keep information

We keep account and Customer data for as long as the Customer's account is active, and delete it within 30 days after the account is closed, except where the law requires us to keep it longer. Calendar event times are kept only for the rolling window described above. Person enrichment results are kept for up to 90 days. Sign-in links expire after 15 minutes and sessions after 30 days.

7. Your rights and choices

Depending on where you live, including the European Economic Area, the United Kingdom and California, you may have the right to access, correct, delete or receive a copy of your personal information, to object to or restrict certain processing, and to withdraw consent. We do not sell personal information or use it for targeted advertising. We will not discriminate against you for exercising your rights.

To make a request, email help@usesometime.com. We may need to verify your identity, and we will respond within the time the law requires (generally 30 days, or 45 days for California requests). You may also complain to your local data protection authority.

Where the GDPR applies, we rely on the performance of our contract with you or your employer, our legitimate interests in running and securing the Service, and your consent where we ask for it. For prospect information, we process under the Customer's instructions.

You can stop marketing emails from us at any time with the unsubscribe link in the email. We will still send service emails, such as sign-in links and booking confirmations.

8. International transfers

We are based in the United States and store data there. If you are outside the United States, your information will be transferred to and processed in the United States. Where required, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses.

9. Cookies

  • The Site sets no cookies.
  • The Sometime app sets a session cookie when you sign in. It is necessary for the app to work.
  • Booking pages read the Customer's HubSpot and Google Analytics cookies for attribution, as described above. If a Customer adds Google Tag Manager, their tags may set cookies under the Customer's own policy.

10. Links to other websites

This policy applies only to the Site and the Service. Other websites we link to, and our Customers' websites, have their own privacy policies.

11. Changes to this policy

We may update this policy. If we make a material change, we will tell Customers by email or on the Site at least 30 days before it takes effect. The date at the top shows when it was last updated.
